Before the Conference
Speaker Checklist
1. Register for TCDL
All attendees and presenters must register for TCDL. Once registration opens, please complete your registration as soon as possible. More information about registration and ticket types will be available on the Registration page. (Workshop presenters do not need to add the separate workshop ticket to your registration.)
2. Create / Update Your Sched Account
You should receive an email asking you to update your speaker profile in Sched. If not, please reach out to info@tdl.org.
3. Review & Confirm Session Information & Speaker Preferences
Your moderator will send an email with important information about your session. Please review it and submit requests or required changes by Tuesday, May 26, 2026.
4. Upload Your Slides
To ensure access to your presentation and to make your presentation as accessible as possible, we ask that you upload your slides to our shared folder in Google Drive. See the email from your moderator for a link to your folder. Please upload your slides by Tuesday, May 26, 2026.
Moderators
Each session has a moderator who will contact you with a few questions and action items. Your moderator will be your point of contact for any questions, suggestions, or concerns before, during, and after the conference. They will help you with technology, open and close the session, moderate Q&As, and support your presentation any way they can. Be on the lookout for an email from your moderator soon.
Session Flows
To help things run smoothly during your presentation, your moderator will create a “session flow” document, which will include all the details about your session, including custom scripts and actions for each session. An email from your session moderator will include a link to your session flow.
Speaker Preferences
Please reply to the email from your session moderator with your preferences:
Pronunciations: Your moderators want to make sure they pronounce your name correctly. We recommend recording your name using Name Drop and adding a link to your session flow document.
Photographs: Many attendees like to take photos of slides during presentations, but we can inform attendees not to take photos during the session, if you prefer.
Technology needs: The technology we will provide for your presentation is described below. Do you have any technology needs during your presentation, other than presenting slides?
Sched
Check out the program and individual sessions in Sched (available soon). Sched will send you an email prompting you to update your profile, session description, add co-presenters, and upload your materials.
See Sched’s Tutorials for updating your session and your profile. NOTE: Please do not change your session time in Sched. Email info@tdl.org if you need to make a change to your scheduled session time. Upload your materials to Sched by Tuesday, May 26, 2026.
- Update / set up your profile: description, social media links, photo, etc.
- Upload your presentation & handouts to Sched (optional; we will ask you to upload your presentation materials to Google Drive)

Accessible & Inclusive Presentations
All speakers, especially those who agree to publish their presentation materials in the TCDL Proceedings, must ensure that their materials meet accessibility standards. The TCDL Accessibility Task Force has compiled presentation resources.
During the Conference
Tracks
TCDL’s conference tracks are categorical descriptions of presentation topics to help attendees find sessions best suited to their needs and interests. Each presentation and session at TCDL has been assigned a track as well as keywords to help attendees set their schedules.

Rooms & Technology
The email from your moderator includes the room you are presenting in. See the map of the Commons Conference Center.
We know that using unfamiliar equipment for a presentation can be stressful! Your moderator will be trained in using the technology in your room and will be there to help make sure everything runs smoothly.
Here is more information about the equipment available in each room:

If your assigned room does not have a computer, you must bring your own laptop or work with your moderator to borrow one. If you have additional technology needs (for example, if you plan on playing audio during your presentation), let your moderator know.
In Case of Emergency
Due to the tight TCDL schedule, if there is an emergency during your session (health, fire, shelter-in-place, etc.), your session may be cancelled. In the case that your session is cancelled, TDL would like to offer the following make up sessions:
Virtual Session
TDL can host a webinar for your session at a time that is convenient for you as a way for you to give your presentation and interact with an audience similar to an in-person TCDL session.
Recording
You are welcome to record your session that TDL can host on the TDL YouTube page and include in the TCDL proceedings.
If these options are needed, speakers can coordinate with TDL staff by emailing info@tdl.org.
After the Conference
Post-Conference Survey
All TCDL attendees will be sent a post-conference survey. We hope you will use that survey to let us know if there is anything we can do to improve your experience as a presenter!
TCDL Proceedings
Presentation materials are archived in the TCDL Proceedings, hosted by TDL. We will handle uploading your materials to the proceedings repository if you gave permission for us to do so when you submitted your presentation proposal. If you’d like more information or to update your choice of whether to upload your materials, please email info@tdl.org.
